I have a query, who do I contact at TQUK?
There is an option on the Management Suite beneath the heading ‘How Can We Help You?’. On the dropdown box you can select the ‘Enquiry’ option, then complete the ‘Question’ box and fill in the details of your query. A staff member of TQUK will then contact you regarding query. Alternatively, you can contact TQUK via the telephone and discuss your query direct with your centre’s designated Account Manager.

Which sectors does TQUK offer qualifications in?
TQUK offer qualifications in the following sectors:-

    • First Aid
    • Health & Safety
    • Food Safety
    • Education & Training

How do I become an approved TQUK centre?
To become an approved TQUK centre you must register interest on the website, using the ‘Register as a Centre’ tab. You will then receive an email containing a username and password that will allow you to log into TQUK’s Management Suite. In the Management Suite you can download and complete a Centre Recognition Form. This must be returned to TQUK, where it will be reviewed.

A visit to your centre will then be arranged. A TQUK External Verifier (EV) will visit your centre to ensure that you have the appropriate resources, staff members and internal quality assurance procedures and policies in place to deliver and assess TQUK qualifications. Once a successful visit has taken place, you will receive notification from TQUK of your centre approval. If assistance is required at any time during the approval process, our friendly industry experts will be on-hand to assist you.

What documents do I need to become an approved TQUK centre?
You must fully complete a Centre Recognition Form and return it to your dedicated Account Manager at TQUK. The form includes information such as your centre details, centre policies and procedures you have in place, the qualifications you want to offer and your centre staff member’s details.

If you are going to use different assessment materials than the ones provided by TQUK, you must ensure examples are attached to the centre recognition form as evidence. You will also need to sign and date a copy of TQUK’s Centre Agreement.

What policies do I need to have in place to become an approved centre?
By the end of the approval process, a centre should have the following policies in place:-

      • Appeals Policy
      • Complaints Policy
      • Equality and Diversity Policy
      • Exam Invigilation Policy
      • Internal Verification Policy
      • Malpractice and Maladministration policy
      • Reasonable Adjustments and Special Considerations Policy
      • Safeguarding Policy

If you do not have one or more of the policies listed, you can either develop your own or adapt the policies that TQUK have in place for centres to use. The centre policies are available for download from the dashboard.

How long does the centre approval process take?
The centre approval process will take a maximum of two weeks. This is from when you first register your interest in becoming an approved TQUK centre, to when you receive your centre approval certificate.

I am an approved TQUK centre, how do I get qualification approval?
A centre that wishes to offer other TQUK qualifications must complete a Qualification Approval Form. This form will enable you to add additional qualifications to your centre profile. The Qualification Approval Form can be downloaded from the Management Suite. Information regarding how to complete and submit the form can be obtained here.

What is the TQUK Managements Suite?
It is an online system on TQUK’s website that allows you to manage your learners, staff members, learner registrations, certificate claims and general course information. It is a free system that you will receive access to when you become an approved TQUK centre.

How do I change my password on the Management Suite?
You can change your password by clicking on the ‘Log In’ tab on TQUK’s website. This will take you to the log in page where you will see the option ‘Lost password’. Click on this and enter your username or email address and then follow the on screen instructions.

How do I register a learner(s)?
You can register learners on your homepage of the Management Suite. Your centre administrator or centre contact must correctly complete all learner details onto the management suite. On the dashboard homepage, underneath the section titled ‘Upcoming Courses’ there are options to either ‘Register a Group of Learners’ or ‘Register Individual Learners’

For short courses, such as first aid, the most appropriate method of registering learners is to ‘Register a Group of Learners’ at the same time. This is because learners are most likely starting the course on the same date.

For courses which run for a greater length of time, such as education and training, the most appropriate methods of registering learners is to ‘Register Individual Learners. This is’ because learners are most likely to undertake the course at different times.

I have registered a learner for the wrong assessment date, how do I change the date?
You can edit any details you have inputted into the Management Suite by using the ‘Edit Details’ tab.

How do I update/amend my centre details?
On the Management Suite, beneath the ‘Centre’ tab there is an option to edit your centre information.

I have forgotten my password for the Managements Suite, what should I do?
You can reset your password from the login page by selecting the ‘Lost Password’ option and typing in your username or email address and following the on screen instructions.

What invigilation procedures do I need to ensure are in place when invigilating a TQUK exam?
You will need to ensure that you are following TQUK’s Exam and Invigilation Procedure. This can be found in the downloads section of the Management Suite and in the Centre Handbook.

An extra learner has turned up for an exam, what should I do?
Only learners who have been registered to sit an exam can do so. You must not let any un-registered learners sit a TQUK exam. Any issues or incidents that happen during an exam session must be recorded on the Exam Invigilation Report Form and returned to TQUK.

What do I do if a learner doesn’t show up for an exam?
If a registered learner does not sit an exam, their name and reason for not attending (if known) must be recorded on the Exam Invigilation Report Form, which is sent back to TQUK. The learner’s blank exam paper must also be sent back to TQUK, via post.

There is a spelling mistake on a learner’s certificate, what do I need to do?
You will need to complete a Replacement Certificate Form and return it to TQUK. It is a centre’s responsibility to ensure the correct spelling of learner names when registering learners.

How long will a certificate take to arrive?
Certificates will be sent to a centre within 48 hours of TQUK receiving a learner’s result.

How do I get a replacement certificate for a learner?
A learner can request a replacement certificate by completing a Replacement Certificate Form and sending it in to TQUK.

A centre can complete a Replacement Certificate Form, on behalf of a learner. The form should be returned to a centre’s Account Manager at TQUK. Replacement certificates will be issued at a fee.

How will I know if my staff are qualified to deliver, assess or IV a TQUK qualification?
You can read the Qualification Specification for the qualification the centre staff member is delivering, assessing or internally verifying. All TQUK Qualification Specifications contain information regarding centre staff qualifications.

What is an Internal Verifier (IV)?
An internal verifier is employed by an approved centre. Their role is to maintain and improve the internal quality of assessment. IVs monitor assessment activities and judgements, provide advice, support and feedback to assessors and plan and undertake standardisation activities in the centre.

What is External Verification?
External verification of assessment is in place to ensure that any qualifications delivered and assessed by an approved centre are done so to the correct standards. The function of external verification is to ensure:-

    • appropriate resources, including staff, are in place to support the qualification and underpin student achievement and/or performance
    • centre staff including assessors, tutors and IVs are offering a qualification to learners that meets the awarding organisations assessment practice and procedures.

What is an external verifier?
An external verifier works on behalf of an awarding organisation. They assess the quality procedures, administration, delivery and assessment decisions made within an approved centre.

How often will there be an EV visit to my centre?
An EV will normally visit your centre at a minimum of once a year. In addition to regular EV activities, TQUK reserves the right to carry out other pre-arranged or unannounced visits, in the interests of ensuring maintenance of quality standards.

What happens during an EV visit?
During EV visits, an EV will assess the quality procedures, administration, delivery, staff and assessment decisions made within an approved centre. They will sample any evidence of learners work; undertake observations and interview centre staff members and learners. The EV will make judgements based on their findings during a visit. They will produce a report of their findings and send it to the Quality Assurance Manager at TQUK, who will then issue it to the approved centre.

How soon after an EV visit will I receive the EV’s report?
You will receive the EV’s report form within 5 working days of external verification activities taking place. The report will be made available on your homepage on the Management Suite.

Who are TQUK regulated by?
TQUK are regulated by the Office of Qualification and Examinations Regulation (Ofqual). Their website is www.ofqual.gov.uk.

How do I make a complaint?
A learner can make a complaint to their training provider (approved centre) by following the approved centre’s Complaints Policy. If they are not satisfied with how the training provider (approved centre) has dealt with their complaint, they can contact TQUK’s customer service team at customerservice@tquk.org.

How do I appeal a decision?
If a learner wishes to appeal against a decision made by their training provider (approved centre), they must do so using their Appeals Policy. If they are not satisfied with how the training provider (approved centre) has dealt with their appeal, they can contact TQUK’s customer service team at customerservice@tquk.org
